Enter Bills

The Enter Bills window is just a simpler form of purchase window used for non-stock related expenses.  You cannot vary the status of a Bill, it cannot be an Order or an Estimate.

Enter the Vendor’s Reference (Invoice) number.

Dealerlogic automatically adds a description by including the words Purchase and the name of the Vendor.  You can change or add to this description if you wish.

Enter the date of the Bill.

Select the payment Terms.

Enter a description for the line item.  Note you split a bill into multiple line items with different descriptions and account allocations.

If the correct Account has not been automatically completed from the client card, select the correct General Ledger account from the Available Accounts selection list by using the tab key to move to the Accounts field and pressing the Tab key a second time or clicking in the Accounts field with your mouse and using the combo provided.  See setting up default expense accounts.

Enter the amount of the expense.

If necessary, select the correct Tax Code from the list using the combo provided.

Note:  Dealerlogic will assume the Tax Code to be used is the one linked with the General Ledger account you have selected, however this can be overwritten if necessary.

Repeat adding line items until all required items for the bill are present.

Use the Journal button to view the resulting Purchase journal to be created when the transaction is Saved.

Used the Tax Components to manually overwrite the calculated tax if necessary.

Click Process, or Process and Pay if an immediate payment is being made.
