There are several tools that you can use to review your sales information:

hmtoggle_plus1        Accounts Receivable

The Accounts Receivable window displays ageing information for all open invoices.  This window opens to display all customers with open invoices, the invoices are grouped into 30day ageing columns and a total owing appears on the right.  Ageing period can be changed from 30day to 7day by changing the tick to "7 Day View".

Ageing can be viewed from either the Invoice Date or the Due Date.  If the Terms linked to Sales are correct, then tick "Use Due Date" to see an accurate reflection of current and overdue invoices.  Accounts Receivable can reported using an "As At Date" typically done as part of a month-end or Financial Year end procedure.

Additionally receivables can be filtered to one customer by double-clicking that customer name.  All sales to that customer will be itemised, and can be paid using the Customer Payments button, or can be viewed for editing.

hmtoggle_plus1        Vehicle Debtors

The Vehicle Debtors  window displays all open vehicle sales, and can be sorted and filtered similarly to other Register windows within Dealerlogic.

hmtoggle_plus1        Sales Register

The Sales Register window lists all sales made for a date range and can be filtered by sale status.  Use the Open Invoices tab to display outstanding sale invoices.  Use the Closed Invoices tab to display all paid sale invoices, and also see the date on which the invoice was paid.

hmtoggle_plus1        Debtors Register

The Debtors Register visually links payments made with the sale to which it was applied, and is a good way to determine ‘when a sale was paid for and how’.  The Register opens by default listing all customers with current balances outstanding, however all customers with any sale records can be viewed by using the “Show Paid Sales tick box.

Locate a specific customer by selecting from the list, or use the Customer select box.  Select the required date range.  When a Customer is selected, all sales for the date range will be displayed, regardless of status.  To assist in locating the required sale, use the column headings to sort data.  For example click the Sale No column heading to list all sales numerically by number.

Sales with payments applied are indicated with a + sign.  Use this button to open the full detail for this sale including the payment(s) applied to it.  Payments applied will list the Receipt Journal number, and payment date.  The payment and the Sale can be opened for review and editing from here.

hmtoggle_plus1        Vehicles Net Outstanding

The Vehicles Net Outstanding report tracks both purchases and sales but only vehicles, and will highlight where money is both receivable and payable to the same person.  To receive or pay only the Net Outstanding amount, a Contra transaction is required to mark off the payable portion against the receivable portion.
