If the transaction relates to a stock item where the stock number is known, it is always quicker to load the stock card and locate the transaction from there.
Otherwise, use the Transaction Registers to locate and edit existing transactions. The Registers have advanced searching functions built in to make searching quick and easy. Locate the Registers from the Inquire group on the Accounting tab of the Ribbon.
Registers exist for all types of transactions:
•Stock transactions •Purchases •Sales •Cashbook (Disbursements, Receipts, Deposits & Contras) •Wages
Searching using Sort
By clicking on any column heading the data will be sorted via that column. So if you are looking for a cheque number you could sort on the "Ref" column in the Cash book register to easily locate cheque numbers.
|
Searching using Filter
By clicking on the Select Arrow at the right of any column, data from that column can be selected as a Filter. So if you are looking for a purchase from a particular vendor, select that Vendor name and only transactions to that Vendor will be displayed.
|
Searching using Search
By clicking onto the first record in any column, you can type directly into that field to instantly locate matching data. For example if you are looking for a Sales number, type that Sale number into the first line of the Sale No column, and if the sale exists in the data you will go straight to it. Pressing Enter will then open that record. If the record is not found, try opening your date range.
|
Searching using Group
You can drag any column heading above the line to group by that column. For example if you group purchases by Stock No, then all purchases relating to each stock number will be grouped by that stock number.
|
Clearing Search criteria
Once you have located the required information, clear your search by clicking the 'X' at the bottom left of the Register. Or close the Register and re-open and the Search will be reset.
